Privacy Notice

This privacy notice explains how Salon Hår looks after personal information you give us or that we learn by having you as a client and the choices you make about marketing communications you agree we may send you. This notice explains how we do this and tells you about your privacy rights and how the law protects you.

WHAT INFORMATION WE COLLECT ABOUT YOU

We collect information about you when you book an appointment for a service or treatment, visit the salon for a service or treatment, buy a product or apply for a job, whether contact is online, on paper, by email or over the phone. The information you give us may include your name, address, email address, phone number, relevant history which may suggest that a service or treatment should not go ahead or certain products should not be used (eg allergies, pregnancy, skin conditions), payment and transaction information, IP address and CVs. For clients under the age of 16, we will only keep and use their personal information with the consent of a parent, carer or guardian.

HOW INFORMATION ABOUT YOU WILL BE USED

In law, we are allowed to use personal information, including sharing it outside the salon, only if we have a proper reason to do so, for example:

• To fulfil a contract with you ie to provide the service or treatment you have requested and to communicate with you about your appointments

• When it is in our legitimate interest ie there is a business or commercial reason to do so, unless this is outweighed by your rights or interests

• When you consent to it: we will always ask for your consent to hold and use health and medical information. We will therefore share your information with

• Providers of our salon software systems [ Zenoti & Fresha]

• Mailing houses [Wix & Zenoti / Fresha , we do not use a different company for email communications]

• Suppliers of our website [ Wix ] We have rigorous data protection and security policies in place with all our suppliers.

Some of the people working in our salon are self-employed. Where software systems and reception facilities are shared, our self-employed colleagues will have access to your information. If you communicate with staff members outside of the salon using personal details you will not be covered under the salons policies. We will not share your information with any other third party without your consent except to help prevent fraud, or if required to do so by law.

MARKETING

We would like to send you information about products and services which may be of interest to you. We will ask for your consent to receive marketing information. If you have consented to receiving marketing, you may opt out at a later date. You have the right at any time to stop us from contacting you for marketing purposes or giving your information to third party suppliers of products or services. If you no longer wish to be contacted for marketing purposes, please contact Salon Hår directly or log in to your account on Zenoti or Fresha to opt out.

 

HOW LONG YOUR INFORMATION WILL BE KEPT FOR

Unless you request otherwise, we will keep your information to contact you for a maximum of 2 years from your last visit to the salon. After this time we will delete all your personal information, except for your name, relevant client history (eg allergy test records which we keep for 6 years) and financial transactions (which we are obliged to keep for 6 years). Information about unsuccessful job applicants will be deleted after four months. ( six months if we have a period of government enforced lockdown )

 

WHERE YOUR INFORMATION IS KEPT

Your information is stored within the European Economic Area on secure servers provided by Zenoti & Fresha and Wix. Any payment transactions are encrypted. Sending information via the internet is not completely secure, although we will do our best to protect your information and prevent unauthorised access. ( We use Square for in salon payments and Zenoti payments for online payments and card capture)

 

ACCESS TO YOUR INFORMATION AND CORRECTION

You have the right to request a copy of the personal information that we hold about you. This will normally be free, unless we consider the request to be unfounded or excessive, in which case we may charge a fee to cover our administration costs. If you would like a copy of some or all of your personal information, please contact Salon Hår. We want to make sure that your personal information is accurate and up-to-date. You may ask us to correct or remove information you think is inaccurate. You have the right to ask us to object to our use of your personal information, or to ask us to delete, remove or stop using your personal information if there is no need for us to keep it.

 

COOKIES

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This is used to track visitor use of the website and to compile statistical reports on website activity. However, in a few cases some of our website features may not function as a result.

TERMS & CONDITIONS


BOOKING AN APPOINTMENT 
We accept bookings over the phone using 02476384916 , in person , online at www.salonhar.com . You will be asked to provide your name , contact number and email address on booking so that we’re able to confirm your appointment and provide you with email and/or text notifications. When booking online your card details will be required to secure the booking .

CANCELLING AN APPOINTMENT
We understand that things happen and that you may need to change or cancel your appointment so we ask that you give us as much notice as possible.

Any cancellations made 48-24 hours prior to your appointment time 50% of your appointment fee will be chargeable . Any cancellations made within 24 hours of your appointment , 100% of your appointment fee may be chargeable , this will be the same if you do not turn up for your appointment .


Any clients who repeatedly cancel late or do not arrive may be asked for payment in full in advance of any future bookings . This payment will be treated in the exact same way as a booking fee and will be none refundable or transferable if less than 48 hours notice given . You may also be removed from the online booking system.

LATENESS
Please let us know if you are going to be late for your appointment, we can usually allow for a few minutes, however we may have another client after your appointment. If you are more than 15 minutes late we may have to adjust the service given but you will still be charged for your original booked service. 

PATCH TESTING
All new clients to the salon will be required to have a patch test for hair dye no later than 48 hours prior to your appointment . If you do not attend the salon for your patch test we will try to contact you using the details we hold but we also reserve the right to cancel your appointment . If any of your health and medical circumstances have changed since your last appointment you may also need a skin test as different medications (or dosage) hormone related issues (menopause pregnancy ) health issues or Virus’ can affect you for longer than you think . Please speak to your stylist , anything you tell us will be in the strictest of confidence.

COMPLAINTS AND FEEDBACK
Our priority is for you to be completely satisfied with the service you receive from us . We run a professional business so we aim to deliver the highest standards in everything we do . Complaints are rare but we take them seriously, so we have a complaints policy and process which we follow to make sure that things are put right where needed and we can learn from your feedback.

If you are not happy with the service you receive , please tell a member of staff either before you leave the salon , or as soon as possible once you have left. We will listen to your feedback and ask all the necessary questions to understand your complaint and offer a solution . If you have already left the salon, we ask that you do not go to another salon as we have the legal right to see exactly what the service or treatment you have received from us , looks like. If you alter your service / treatment elsewhere, we will not be able to rectify any problems and will be unable to offer any sort of resolution.

PROPERTY LOSS OR DAMAGE
It is your responsibility as the owner, to take care of any property you bring into the salon. We take no responsibility for any property which is lost or damaged . Anything left in the salon will be held for up to 8 weeks, we will do our best to contact you ( if we know who’s item it is ) for you to retrieve your property.

Please , when coming to have your service / treatments with us , think about what you are wearing for example if you are wearing a roll neck jumper or hoodie you may be asked to remove it if your booked in for a colour and/or cut & blow-dry . We take no responsibility for damage to clothing or jewellery when all PPE at our disposal has been used.

PARENTS OF YOUNG CHILDREN 
Please can we ask that you only bring one child at a time into the salon for an appointment . This is for the comfort of other customers and also for health and safety reasons it is also a lot less stressful for yourself . If your children are old enough and happy to occupy themselves whilst not having their hair done you may bring no more than 2 children into the salon. If your child is getting fractious while having their hair done we reserve the right to either refuse to carry out any clipper work or continue with the haircut at all . At busier times for example Christmas / December we ask that children do not accompany parents to their appointments , there may not be a place for them to sit and this could be a health & safety risk , if you are in doubt please call ahead .

 

COLLEAGUES AT SALON HÅR

All colleagues at Salon Hår are Self-Employed , therefore they set their own hours , service times and prices and take their own payments. They have the right to change any of this without notice . They also carry their own insurance individually . When dealing with any complaints , another colleague or the salon owner is happy to work as a team to obtain a resolution to any problems but ultimately any decisions lie between the client and  colleague who carried out the original service and the salon is by no means liable in any way.

Some of our other services / treatments will come with their own specific terms and aftercare. These will be highlighted individually either upon booking, consultation or at your appointment
